Job Summary:
We are seeking a versatile Administrative Assistant to support our project management team and provide direct support to the Executive Assistant. This role is a blend of project coordination, vendor management, and high-level executive support within a fast-paced electrical construction firm.
Key Responsibilities:
Project & Office Support
- Process Submittals, RFIs, and Change Orders for active electrical projects.
- Coordinate with municipalities to pull electrical permits and schedule inspections.
- Verify vendor invoices and track material deliveries to job sites.
- Manage office supplies and maintain a professional, organized front-office environment.
Support to Executive Assistant
- Assist the EA with any given tasks.
- Prepare meeting agendas, take minutes, and track action items for leadership meetings.
- Handle sensitive documents and communications with a high degree of confidentiality.
Physical Requirements
- Mobility: Ability to navigate a standard office environment; occasional visits to active construction sites may require walking on uneven terrain.
- Lifting: Ability to lift and move office files, permit sets, or small material packages up to 25 lbs.
- Vision/Dexterity: Frequent use of computers and reading of fine-print blueprints or technical specifications.
Requirements & Qualifications
- Attendance: This is a 100% in-office position. Reliability and punctual attendance Monday through Friday are essential.
- Experience: 2+ years in an administrative role; experience in electrical or commercial construction is highly preferred.
- Communication: Polished verbal and written communication skills suitable for both field electricians and executive leadership.
- Software: Strong proficiency in Microsoft Office 365. Experience with construction-specific software (e.g., Heavy Job & Vista) is a plus.
- Professionalism: A high level of discretion and the ability to remain calm under pressure.
